Explanation of the options for canceling/no showing appointments:

1. Agency Cancellation - this option should be used if an appointment needs to be canceled due to an agency reason. An example includes if a staff member is out sick and unable to meet with their scheduled clients.
2. Client Cancellation - this option should be used if the client notifies us at least 24 hours in advance that they will miss their appointment
3. Client Absence - this option should be used if the client either misses the appointment without notifying us or notifying us less than 24 hours before their appointment, making it difficult for the provider to arrange another productive use of the appointment time.
4. Manager Approved - this option should be used if a manager assesses that a situation results in an exception when a client cancels or is absent from an appointment. An example may include if a client is hospitalized. This option needs to be approved by a manager and cannot be chosen without a manager's approval.
5. Scheduled in Error - this option should be used if an appointment has been scheduled in error.
