Client Alert/Restricitions

  • This article explains Client Alerts/Restrictions in Evolv. 
  • Client Alerts/Restrictions can be found in the following crumbtrails.
    • Client > Client Information > Critical Information > Alerts/Restrictions
    • People Search > Personal Information > Personal Information > Client Alerts
  • Alerts are notifications that quickly relay information about the client. An example of an alert is medical allergies. 
  • Restrictions are intended to be related to one or more specific facilities in the agency. Restrictions are used, for example, to indicate that a client is no longer allowed to enter an office due to past aggressive behavior.


Important Notes:

  • Please read through all important information before continuing with this article.  
  • Please make sure to follow all steps as written below. If there is any issues with this article please report them to the IT Department immediately for corrections and additions.
  • Adding/ending Client Alerts/Restrictions is dependent on staff worker roles.   Please consult with your Supervisor or Program Director.
  • Client Alert/Restrictions must be maintained and kept up to date.  
  • Any/all Client Alerts/Restrictions must be ended if no longer applicable to the client.
  • A report may be used to identify active alerts/restrictions - Reports > Events > Work Flows > Clients
  • Explanation of specific alerts/restrictions can be found:

 

View a client alert/restriction

  1. Go to: Client > Client InformationCritical InformationAlerts/Restrictions or People Search > Personal Information > Personal Information > Client Alerts
  2. Search for and select a client/person.

Icons (highlighted in yellow) indicating active alerts and notifications for a client are displayed on the header. Place your cursor over the icon to view additional details.

Add a client alert/restriction

NOTE: Adding Alerts may be restricted to particular worker roles.  If you are not able to add an alert, consult with your Supervisor or Program Director

  1. Go to: Client > Client InformationCritical InformationAlerts/Restrictions or People Search > Personal Information > Personal Information > Client Alerts
  2. Search for and select a client/person.
  3. In the toolbar, click New Event > select an event. 
  4. Enter information in the required fields. Note the information you enter in the Alert Statement box is the text that will appear when you place your cursor over the icon in the client header.
  5. Click Save.

     

End a client alert/restriction

  1. Go to: Client > Client InformationCritical InformationAlerts/Restrictions or People Search > Personal Information > Personal Information > Client Alerts
  2. Search for and select a client/person.
  3. Click on the correct alert/restriction. 
  4. Add date to End date field.
  5. Enter information in the Alert Statement, if applicable.  Note the information you enter in the Alert Statement box is the text that will appear when you place your cursor over the icon in the client header.
  6. Click Save.


Alert/Restriction Report

  1. Go to: Reports > Events > Work Flows > Clients
  2. Enter From Date and Through Date
    1. to see results since inception of Evolv, use 01/01/2014
  3. Choose Report Selection.  This will determine how the report is ordered by. 
  4. Check the "Exclude Completed in Period" to exclude alerts/restrictions with end dates
  5. Add date to End date field.
  6. Search and choose Event Definition for the Parameter.  Additional parameters may be selected to drill down further.
  7. Search and choose the correct alert/restriction for the Value.  
  8. Choose Preview or Excel to view the report
